Employer reports and documents
Last updated: August 25, 2026
Alongside running payroll, Alpaca gives you the employer-side paperwork: payroll reports, company tax documents, and the documents you have to sign as the employer. This article covers the Reports and Documents tabs on the Payroll page, and where the signing flow lives.
Where they are

The Payroll page tabs as a clinic admin sees them.
Both are tabs on the Payroll page, alongside Payroll Details:
Reports — payroll reporting for your organization
Documents — your organization's payroll documents and filings
You will also see Payroll Runs (a read-only list of every run for your organization), Employer Profile (company details, tax info, work locations) and Onboarding.
These are distinct from what your workers see. A worker's own pay stubs and W-2 / 1099-NEC live under My Payroll → Payments and My Payroll → Documents, and stay accessible to them even after they leave. See View your hours and differentials.
Who can see them
Anyone with payroll access in your organization — typically clinic admins and accountants. Note that the Dashboard tab, which can start and submit a payroll run, is deliberately not available to clinics: Alpaca runs payroll on your behalf. You keep Payroll Runs (view-only), Reports, Documents, Onboarding and Employer Profile.
Signing company documents
Some employer documents need a signature before Alpaca can act — tax service agreements and similar. When one is outstanding it appears as a setup task in the banner at the top of the Payroll Details tab, with a Sign company documents button that opens the signing flow in place. You do not have to go hunting for it.
The same banner counts any other outstanding setup tasks and links to Onboarding for those.
Employer Profile and your tax information
Your state tax account numbers are entered under Employer Profile → Tax info. When you leave that tab, Alpaca re-checks your tax setup automatically, so a number you have just entered clears the matching item on the Expected Tax Notices tab without waiting for the overnight sync.
Your organization's employer details for 1099 generation are set on the Organization page — these are required to generate year-end tax documents for contractors, so it is worth checking them well before December.
State Tax Guides
The State Tax Guides tab collects Alpaca's per-state guidance on payroll tax registration. If you are expanding into a new state, read the guide there before you hire — see also Operating in Multiple States: Foreign Qualification & State Payroll Tax.
