View your hours and differentials

This article shows you, as a BT or RBT, where to see the hours you are actually paid for and how pay differentials show up. If you are looking for your calendar and your Scheduled vs Signed hours totals, see View your schedule and your hours (worker view) instead.

Where your worked hours come from

Your paid hours are built from the work you complete in Alpaca:

  • Billable (clinical) hours come from session notes you have signed. Until a note is signed, its time is not counted as worked hours.

  • Non-billable hours — things like training, admin/documentation time, and travel — come from non-billable appointments once they have been approved and verified.

Because of this, the single most important thing you can do is sign your session notes on time. The date you sign a note is what determines which pay period it lands in.

View your hours and pay in My Payroll

Open My Payroll from the left sidebar. This is your personal payroll area, and it has these tabs:

  • Profile — your personal payroll details, including tax information and direct deposit / banking.

  • Payments — your pay history and pay stubs.

  • Documents — your tax documents (such as W-2s or 1099s) once they are generated.

To see the hours and amounts you were actually paid, open the Payments tab and view a pay stub. Your pay stub is the source of truth for what you were paid in a given period.

If you do not see My Payroll in your sidebar, payroll may not be set up for your account or your organization yet. Contact your clinic administrator.

Even if your employment has ended, you can still open My Payroll to see your payment history in the Payments tab and access your tax documents in the Documents tab.

What a differential is

Your hours are not all paid at the same rate. Alpaca separates your time into pay categories, and each one can have its own rate. A differential is simply a different (often higher) rate that applies to certain kinds of work.

So, for example, weekend work can be paid at a weekend rate and travel can be paid at a drive-time rate, separate from your clinical rate. The actual rates are set by your employer — this article does not list rates, because they vary by clinic and by worker.

Where differentials show up for you

You see the effect of differentials on your pay stub, in My Payroll > Payments. Your paid hours are grouped by category there, so weekend, drive-time, training, admin, and clinical time can appear with the rate that applies to each.

The category a given block of time falls into is set on the appointment itself when it is scheduled and approved — for example, a travel appointment is normally paid at the drive-time rate, and weekend work at the weekend rate. If a category on one of your appointments looks wrong, ask your clinic administrator to review it, since they control how appointments are coded and what each rate is.
